Executive Assistant (Remote)

Preferable Location: New York   |   Full Time

Visit is looking for a passionate and ambitious Executive Assistant to join our team remotely. The  Executive Assistant will increase organizational effectiveness primarily through project management, and strong organizational skills.  The right candidate will have an entrepreneurial spirit, extreme passion for our mission, and the energy and discipline to come in and be a builder.

Responsibilities: 

  • Maintain executive calendars to coordinate and maintain meeting schedules and agendas with attendees across global time zones, internal and external stakeholders.

  • Act as a liaison for assigned executives relaying and exchanging information with others including Board members, investors, senior leaders, customers and clients, and other organizations or constituents.

  • Manage all preparations of Board of Directors meetings. 

  • Create and maintain reports and presentations as directed including drafting letters, memos, invoices, reports, and other documents.

  • Assist with data entry, pulling reports, development of annual budgets and forecasts, working with CEO and COO to ensure accuracy.

  • Organize, prioritize and coordinate multiple work activities with demonstrated ability to meet deadlines.

  • Regularly screen and filter emails and phone calls, providing responses and follow-up communication as needed.

  • Quickly learn and follow organizational policies, practices, and operations.

  • Expense tracking and variance to budgeted expense analysis

  • Arranges travel and accommodations.


Qualifications:

  • A minimum of 5 years of work experience in project management, preferably supporting C-level leadership.

  • 3+ years of legal background preferred.
  • Comfortable with frequent access to confidential information and ability to exercise utmost confidentiality.

  • Well-versed with work that requires analysis, initiative, discretion, and independent judgment. 

  • High attention to detail, organization, process, and execution of administrative activities.

  • Strong relationship management skills, ability to build a personal network throughout the company.

  • Ability to prioritize tasks, meet deadlines, be comfortable with ambiguity and respond to changing priorities and needs.

  • Project management in a fast-moving, high-pressure environment.

  • Flexibility working independently or with a cross-functional team.

  • Strong Google Suite and managing multiple calendars.

  • Experience working in a fast-paced startup environment 

  • Passion for our mission and the desire to make an impact in the world through technology
